Privacy Policy

This policy explains what personal data Dots Media Private Limited (“Dots Media”, “we”, “us”) collects through this website, why we collect it, and the choices and rights you have. We are based in India and process personal data in line with India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”). Section 10 adds information for buyers in the United States and the United Arab Emirates.

1. Who is responsible for your data

Dots Media Private Limited (CIN U22100DL2010PTC201858), registered office RZ-P-252-A, East Side Portion, Ground Floor, Shop No. 1, Khasra No. 43/12, Raj Nagar-II, Palam Colony, South West Delhi, New Delhi 110077, India, decides how and why your personal data is processed. Under the DPDP Act we are the “data fiduciary”.

2. What we collect

When you check out in our shop: your name, company name, email address, phone number and billing address, any notes you add to the order, the products you order, and the order and payment status.

When you send an enquiry: the details you enter in our enquiry forms, such as your name, company, email address, phone number, the service you are interested in, the show or event, budget range, booth size and your message.

When you use the chat on our website: our website chat assistant is an AI service operated by a third-party provider. The messages you type, the assistant’s replies, and any contact details you choose to share in the conversation are processed by that provider.

Cookies and similar technologies: we use cookies that the site needs to work. When you add something to your cart, our shop (WooCommerce) sets cookies that remember your cart and session, such as woocommerce_cart_hash, woocommerce_items_in_cart and wp_woocommerce_session_. Our hosting may also set technical cookies to serve pages quickly. We do not use these cookies to track you across other websites.

Technical data: like most websites, our servers record basic request information such as IP address, browser type and pages requested, to keep the site secure and working.

3. Why we use it

  • to confirm availability, process your order and send you payment links, confirmations and invoices;
  • to design, build, deliver and install your booth or graphics, and to talk to you about your order;
  • to answer your enquiries and chat messages and send you the quotes you ask for;
  • to keep your cart working while you shop;
  • to keep accounting and tax records and meet other legal obligations; and
  • to protect the website and our customers against fraud and misuse.

We process this data because you have given it to us for these purposes, or because we need it to meet a legal obligation. We do not sell your personal data.

4. Card payments

Card payments are handled by ICICI Bank’s payment gateway. You enter your card details on ICICI Bank’s systems, not ours. Dots Media never receives or stores your full card number, expiry date or security code. We only receive the information needed to match the payment to your order, such as a transaction reference and whether the payment succeeded.

5. Who we share it with

  • ICICI Bank, to process card payments;
  • the third-party provider of our AI chat assistant, which processes chat messages to produce replies;
  • providers who host our website and email, and who help us run our enquiry systems;
  • production and installation partners, show organisers and venues, only as far as needed to build and set up your booth (for example, the exhibitor details on an organiser’s booth-approval form); and
  • government authorities, courts or regulators where the law requires it.

6. Where your data is processed

We are based in India and deliver projects in the United States and the United Arab Emirates. Your data may be processed in India, in the country where your show takes place, and in the countries where our service providers operate. We take reasonable steps to protect it wherever it is processed.

7. How long we keep it

  • Orders and invoices: for as long as Indian tax and company law require us to keep accounting records.
  • Enquiries and chat messages: for as long as needed to respond and follow up, and then deleted when no longer needed.
  • Cart cookies: until your browser session ends or for up to 48 hours, unless you clear them sooner.

8. How we protect it

The website uses secure (HTTPS) connections. Access to order and enquiry data is limited to staff who need it to do their work. No system is completely secure, but we take reasonable steps to prevent unauthorised access, loss or misuse.

9. Your rights under the DPDP Act, 2023

You have the right to:

  • ask for a summary of the personal data we hold about you and how we process it;
  • ask us to correct, complete or update your data;
  • ask us to erase your data, unless we must keep it to meet a legal obligation;
  • withdraw any consent you have given, without affecting processing already done;
  • nominate another person to exercise your rights if you die or become unable to; and
  • have your grievances addressed by us.

Grievance contact: send requests and complaints to corporate@dotsmediaglobal.com with the subject “Privacy request”. We will respond within the time required by law. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

10. Buyers in the United States and the UAE

United States: depending on the state you live in, you may have the right to know what personal information we hold about you, and to ask us to correct or delete it. We do not sell your personal information or share it for targeted advertising. We will not treat you differently for exercising your rights.

United Arab Emirates: under the UAE’s Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, you may have the right to access, correct and erase your personal data, to restrict or object to its processing, and to receive information about how it is processed.

To use any of these rights, email corporate@dotsmediaglobal.com. We may ask you to confirm your identity before acting on a request.

11. Children

Our shop and services are for businesses. They are not aimed at children, and we do not knowingly collect personal data from anyone under 18.

12. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top shows when it last changed.
